Summary
Boesen & Snow has an immediate opening for a part-time Personal Assistant to provide administrative support to the firm’s partners. This position will primarily focus on assisting with personal errands, travel coordination, vendor communication, managing the partners' personal email inboxes, and other tasks to help the partners manage their day-to-day responsibilities and maintain a healthy work-life balance. This is a part-time role, offering 20-25 hours per week during business hours. Responsibilities and Duties
- Personal Errands: Run personal errands for the partners, including shopping, managing appointments, and coordinating other personal tasks as needed.
- Travel Coordination: Arrange travel logistics for the partners, including booking flights, hotels, and transportation, and ensuring all details are accurately managed.
- Vendor Communication: Act as a liaison with vendors and service providers, ensuring all required services and supplies are coordinated in a timely manner.
- Schedule Management: Assist in managing personal and professional schedules, including setting up meetings, appointments, and coordinating other engagements.
- Document and Correspondence Management: Draft, proofread, and send personal and professional correspondence on behalf of the partners.
- Email Inbox Management: Manage the partners' personal email inboxes to help balance work and family priorities, ensuring important messages are flagged, replies are timely, and unnecessary distractions are minimized.
- Project Assistance: Assist the partners with various ad-hoc projects or tasks as required.
- General Administrative Support: Provide additional administrative assistance to support the smooth operation of the partners' day-to-day activities.
Qualifications & Skills
- Strong Organizational Skills: Must be highly organized, detail-oriented, and able to manage multiple tasks efficiently.
- Excellent Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with internal and external contacts on behalf of the partners.
- Proactive and Independent: Able to anticipate needs, take initiative, and work independently with minimal supervision.
- Tech-Savvy: Proficient in Microsoft Office (Word, Excel, Outlook) and familiar with scheduling tools.
- Discretion and Professionalism: Must maintain confidentiality and handle sensitive matters with the utmost professionalism.
- Previous Experience: Prior experience in an administrative or personal assistant role is preferred. Experience in a law firm or working with executives is a plus.
- Car Requirement: Must have a reliable car to run errands and attend appointments as needed. Mileage will be reimbursed.
Pay & Benefits
- Pay: $18-22 per hour, based on experience.
- Schedule: 20-25 hours per week, Monday through Friday, during standard business hours.
